51 NAVY SUPPLY NEWSLETTER SPRING 2009 As a major Australian employer Defence is embracing opportunities to implement new technologies and achieve changes that will assist in streamlining processes with a direct benefit to members. As part of this change, a new tool, using new technology called iTravel will be rolled out at the end of 2009 and into 2010. What is iTravel? iTravel is a new tool that has been developed by Defence Support Group’s Integrated Travel Solutions team. iTravel is an all in one, budget and itinerary tool for overseas and domestic travel, that includes both independent and group travel facilities. What’s in it for me? iTravel has two parts, one for Independent Travel, and one for Group Travel. There are many advantages for the Independent traveller, including: 1. The new iTravel tool incorporates both a domestic and overseas section – you will not have to complete two separate budget calculators if you are travelling both domestically and overseas in the same trip. 2 . Each trip you organise will be saved on your personal iTravel profile – if you are a regular traveller you will be able to ‘copy’ past itineraries to save you time. 3. No password will be required to log into iTravel, as iTravel will be attached to your personal DRN profile. This also means you will be able to access your iTravel details nationally when you log on to the DRN. 4. You will also be able to give other people access to ‘view’ and ‘administer’ your personal iTravel site. For example, if you are out in the field, or out of the office, you can organise and authorise other people to make changes to your itinerary, which of course will change your budget. 5. Once you set your own personal profile on iTravel, the system uses new intuitive technology, which means many fields in the tool will self-populate each time you enter data, to save you time. Meals for the duration of your trip will be automatically calculated once you enter your destination. The Group Travel Section will primarily be used by Integrated Travel Solutions in Townsville who organise a large amount of Defence travel for group enlistment and group training travel. Some of the advantages for members in using this part of the new tool are: 1. As a member participating in upcoming group training, you will have direct electronic access to view the status of your travel arrangements via your iTravel group profile. This visibility will enable you to watch the changing status of your travel as it is being organised and processed by your Travel Service Delivery Officer. 2. Itineraries will be able to be emailed directly to your home or any other email address you nominate in your iTravel profile. This will help members in the field who may not be returning to a DRN location prior to commencing their travel training. Who will be given access to iTravel? All Defence employees who have a PMKeys number will have access to iTravel. When will iTravel be introduced? iTravel will be delivered to travel processing areas and the wider Defence community towards the end of 2009, early 2010. The plan is to have it available concurrently with the existing systems for around six months until travellers are familiar with the new system. How will I find out more about iTravel as implementation draws closer? Integrated Travel Solutions has commenced communicating information on the iTravel implementation in a variety of formats including the Defence intranet, Service newspapers and Group newsletters. As the implementation draws closer you will see the tempo increase and information will start popping up everywhere. Further information on the implementation of iTravel is also available from the Travel Website at http://intranet.defence.gov.au/dsg/sites/travel/ default.asp. iTravel is coming! ‘iTravel’ is a vital mechanism in the management and operation of the Defence Organisation, and as such is a primary product that is being influenced almost daily by rapidly changing technology.
